Emergencies

If, for any reason, you need to contact the Summer Camp staff or your child during the camp day, please call (484) 645-3114. The Summer Camp at Friends School Haverford email address is [email protected].

Nurse & Medications

We will not have a nurse on site. Staff members are CPR and first aid trained to deal with minor injuries campers may experience. In addition, if your child needs access to an Epi-pen® or asthma inhaler, we will have staff members who can dispense them. Parents are responsible for bringing the medication to camp if their child has any special needs. Please read the Emergency Form carefully for additional medication and field trip policy information.

Clothing and Toys

Children should wear cool, comfortable, weather-appropriate clothes to camp and be prepared for outdoor and indoor activities. All campers must wear sneakers and socks. Please do not send your child to camp in sandals. Campers will not need to bring toys to camp. While it is appropriate for our Seedlings campers to bring a favorite blanket or stuffed animal to help them relax during quiet time, all other toys and electronic devices are prohibited from being brought to camp.

Absences

If your child is going to be absent, please call (484) 645-3114 after 8:30 a.m. to inform the camp staff.

Lunches and Snacks

Families should pack two snacks for a full day at camp and an extra snack for aftercare. Water will be available throughout the day. Campers will need to provide their lunches in insulated bags or coolers. Please pack lunches that do not require additional refrigeration or heat.

Cancellation & Refund Policy

Cancellation for any reason before June 1 will be subject to forfeiture of deposited funds. However, your deposit may be applied to alternative programs, in which case a mandatory $25 change fee will be assessed. After June 1, the cancellation will result in the forfeiture of all fees. Summer Camp at Friends School Haverford reserves the right to cancel or modify individual programs due to enrollment or weather concerns. Finally, campers must conduct themselves in a responsible and respectful manner. Any camper involved in wrongful behavior that raises significant concerns will be subject to immediate dismissal and forfeiture of payment.

Fees and Registration Policy

Please see our online registration form for a complete list of fees. Late pick-up fees and change-of-week fees ($25.00 per week changed and based on availability) also apply. Full payment of the total amount due is required at the time of registration before campers are permitted to attend. Checks should be made payable to Friends School Haverford.

Camp registration is due by May 1, 2024. Spots are filled as registrations are received until camps reach capacity. After that, registrants will be put on a waiting list. Full payment is due at the time of registration. We cannot guarantee your place if the balance is not received by the above deadline. Late registration is possible, provided space is available in the desired program. Late registration must be made one week before the start of the desired program and must be accompanied by full payment. Changes in registration from one week to another are subject to program availability and are not guaranteed.

Late Pick-Up Policy

Children not enrolled in After Camp care must be picked up between 2:45 pm and 3:00 p.m. While there is no charge for before-care there is a one time fee for after care ($50.00) and campers need to sign up in advance so we can ensure appropriate coverage. All children must be picked up by 5:00 p.m. Any late pick-ups after this time will incur a per-child late fee of $15 for each 15-minute interval after 5 p.m. (for example, a 5:20 pick-up will be charged $30).

Please call (484) 645-3114 if you will be later to pick up than expected.

"Potty" Policy

Children age three and potty trained through those entering 6th grade in the fall are eligible to attend Summer Camp at Friends School Haverford. Due to the number of transitions throughout the camp day, we require that Seedlings campers manage themselves independently when using the potty. Regular breaks and lots of encouragement will assist in this process. While we understand accidents can and will occur from time to time, we do not have the staffing to manage more regular accidents with campers while maintaining our program's integrity. If the occasional accident becomes a regular pattern of behavior, we reserve the right to dismiss campers at our discretion.
